Sheet Fed Scanner Buying Guide

Throughout the years, it has become a necessity for the average user to purchase certain products that are considered technical in nature. These products by the mere fact that they are technical present a sometimes-daunting task when trying to ensure that the purchase one makes will be the right one, for the best price, for the longest period of time. To complicate matters computer hardware and it's peripherals, are by in large obfuscated in many ways by design in order to give the buyer a view that this particular piece of hardware can do pretty much anything your heart may desire, and in fact is the answer to all of your hardware needs. In concert with these facts this article will help the average user shop for and purchase a computer peripheral device known as a sheet feed scanner. The scanner has several facets that make it difficult to purchase and can, in fact, lead to spending your hard-earned dollars on something that may not suit your needs. Hopefully the few items that I bring to light here will aide you in finding the right scanner for your needs so that you may enjoy several years of productive use. Before we get started, we should probably define what does a sheet feed scanner do? In its simplest terms a sheet feed scanner will take text a piece of paper and convert it to a digital picture. It does this by 'scanning' the paper a few centimeters at a time and building a picture of the paper in memory. The scanned picture in memory is then saved on a computer in a digital picture format usually TIFF, or JPEG. Once in this format it can be stored and used in many ways, including sorted and placed in a database for easy search and retrieval. In addition, through special software, the picture can be converted to real editable text with the use of OCR software which I will later explain in this article. Although this explanation is very rudimentary it does take into account all of the basic functions of a sheet feed scanner. Let's take a look and some of the attributes one should be aware of when buying a sheet feed scanner.

Pricing:

Initially you must define a budget for what you want to spend on your scanner. This amount is usually dictated by the overall necessity of the scanner as well as how much use the scanner will get on a day to day basis. In addition, the quality of the scanner must be taken into consideration as not all scanners are not created equal. As an example, there are many inexpensive scanners that will more than fulfill the needs of the average user. These types of scanners are used to make digital copies of family documents like birth certificates, wills, bank accounts, and other documents that are deemed important to the family. The documents are then placed in a database using a piece of software that is designed for easy search and retrieval.

A scanner for these types of documents can be fairly inexpensive since the document, once saved, will not be manipulated any further. Although you want a clear image of the document scan, it is not necessary to later use the scanned document for something else like OCR software.

However, if in fact, the reason you are purchasing a scanner is to take several documents and convert them to text that can be edited, then it is imperative that you purchase a better-quality scanner. The attributes to look out for are self-adjusting scanning, crisp and clear black and white differentiation, and basic font recognition. Do not skimp on the cost of this type of scanner as it can become much costlier in the end if you try and save a few pennies.

Use:

As mentioned before if the scanner is to be used for a few family documents for later retrieval and use then almost any scanner will be able to fulfill your needs. If, however the scanner is to be used for OCR conversion then, purchase a scanner that has the following features: A. Uses a 64-bit color or 32-bit gray scale parsing to ensure sharp and clear text images. B. Wireless in order to be able to use your scanner any type of computer. C. High end paper feeding system to make sure that the paper does not get trapped during the feeding process. Wrinkled paper will ruin a document and force hand typing the document into a word processor. In addition, you do not want multiple pages to be pulled when scanning a lot of documents as this increases the possibility of missing some documents. D. 11” x 17” minimum paper scanning surface. Make sure the scan is edge to edge and does not have any type of margins that need to be accounted for. E. On board menu system to configure and test the scanner.

OCR:

Optical Character Reading software for those converting documents can be your biggest friend or your worst nightmare. There are literally thousands of pieces of OCR software that will convert a document from image to text, you must make sure that you choose the right one for your purposes. The following are some of the pitfalls that you should be aware of when deciding which piece of OCR software is best for you.

A. Many scanners come with OCR software already installed. Make sure that the software is not part of the firmware, but is installed on the computer. Check the developer of the software and see the last version number and date of release. If the version number is high and the release date is recent then the developer keeps up to date on the software. B. See if the software is font aware and how many fonts it will recognize. Also, look for the size of the font that the software will recognize as sometimes there is a fluctuation in the scan and can fool the software. C. Check for the type of filtering that is used to ignore things like tears and wrinkles in the paper. Smudge marks on the paper as well and some water marks can cause a document to look one way and be scanned another. D. There are some very sophisticated pieces of software that have spell checkers in them. Others have grammar checkers as well. Make sure there are flags for turning these options off and on as they can be annoying and ‘too smart’ for their own good. E. If you have documents that use a foreign language make sure that if the character set is extended, like Chinese, the software will support that. F. Finally, depending upon your needs you may have to purchase a separate piece of OCR software in order to fulfill all of your OCR needs.

Warranty:

This is a sticky item, but must be dealt with. A warranty should be treated in the same manner as pricing. If you have opted for an inexpensive scanner then the need for some type of big time warranty is superfluous at best. There are scanners that are literally less than fifty dollars. A scanner like that does not need a warranty and if it breaks within the first thirty days take it back to the place of purchase and they will usually exchange it.

If, however you paid four hundred to five hundred for your scanner then definitely get a good warranty and see if they offer and extended warranty. When paying that kind of money for a scanner make sure it is a well know company that has been around for many years. Check to see if the company has a local office near you. Look on the internet and check out the reviews of the scanner before you purchase it. If someone has left contact information, send them an email and ask them how they liked their scanner.

See if the company has s support forum, if they do then go there and see how quickly the moderators answer customer questions. Ask a few questions yourself and see how responsive the community, as well as the company in answering your question. Check the date of the last inquiry to see if the forum is active and being used. Got to the company's website and check for the most recent drivers for the scanner you are thinking about purchasing. Look for older models and see how they are supporting them as someday your scanner will be considered an ‘older’ model.

Summary:

Purchasing a sheet feed scanner can be a difficult task. In fact, acquiring any type of computer hardware of peripheral can be very off putting. The few pointers I have tried to lay out will hopefully make your future purchase a little less stressful and could even bring a smile to your face. Just remember to always be prudent in your decision-making process and when in doubt, it is always better to be patient.
